These Terms of Service ("Terms") govern your use of the Ekwa Marketing Client Portal (the "Portal"). By logging in, you agree to these Terms.

1. What the Portal Provides

The Portal gives you access to:

• Your support tickets and email conversations with the Ekwa Marketing team.
• Marketing performance statistics for your practice (calls, keywords, Google Business Profile, and more).
• Monthly reports and related documents.
• The ability to reply to existing tickets and submit new support requests.

2. Account Access

• Access is limited to email addresses registered with an active Ekwa Marketing client account.
• Login is passwordless — a one-time secure link is sent to your registered email address.
• Login links expire after 15 minutes and can only be used once.
• You are responsible for keeping your email account secure, as it is the sole method of authentication.
• Do not share login links with others. Each link is tied to your account.

3. Acceptable Use

When using the Portal, you agree not to:

• Attempt to access tickets, data, or accounts belonging to other clients.
• Submit abusive, threatening, or inappropriate content through tickets or feedback.
• Attempt to interfere with the Portal's operation or security.
• Use automated tools (bots, scrapers) to access the Portal.

4. Data Accuracy

• Support tickets displayed in the Portal are pulled directly from our helpdesk system and reflect the actual communication history.
• Marketing statistics are compiled from various data sources and are provided for informational purposes. Minor discrepancies may occur due to data processing timing.
• If you notice any inaccurate data, please contact your account team.

5. Availability

• We aim to keep the Portal available at all times but do not guarantee uninterrupted access.
• We may perform maintenance that temporarily limits access. We will provide notice when possible.
• We reserve the right to modify, suspend, or discontinue the Portal at any time.

6. Intellectual Property

The Portal, its design, and its features are the property of Ekwa Marketing. Your use of the Portal does not grant you ownership of any content, code, or materials within it.

7. Limitation of Liability

The Portal is provided "as is." Ekwa Marketing is not liable for any damages arising from your use of the Portal, including but not limited to data loss, service interruptions, or inaccuracies in displayed data. Our liability is limited to the extent permitted by applicable law.

8. Termination

Access to the Portal is tied to your active service relationship with Ekwa Marketing. We may revoke access if your account is no longer active or if these Terms are violated.

9. Changes to These Terms

We may update these Terms from time to time. Changes will be posted on this page with an updated date. Continued use of the Portal after changes constitutes acceptance of the updated Terms.

Ekwa Marketing ("we", "us", "our") operates the Client Portal (the "Portal"). This policy explains what information we collect, how we use it, and your rights.

1. Information We Collect

Information you provide

• Email address — used to identify your account and send you a secure login link.
• Support messages — any replies or new tickets you submit through the Portal.
• Feedback — optional star ratings and comments you submit via the feedback widget.

Information collected automatically

• Session data — a session cookie is used to keep you logged in. It expires when you close your browser or log out.
• Login tokens — one-time magic link tokens are stored temporarily and deleted after use or expiration (15 minutes).
• Rate limiting data — login attempt counts are stored temporarily to prevent abuse.

Information we do NOT collect

• We do not use analytics, tracking pixels, or third-party cookies.
• We do not collect passwords (the Portal uses passwordless login).
• We do not collect payment or financial information.

2. How We Use Your Information

• Authentication — your email address is used to verify your identity and send login links.
• Displaying your data — the Portal displays your existing support tickets, marketing reports, and performance statistics. This data is read from our internal systems and is not modified by the Portal.
• Support communication — replies and new tickets you submit are sent to our support team via email.
• Service improvement — feedback submissions help us improve the Portal experience.

3. Data Storage & Security

• Login tokens and session data are stored in a local database on our server. Tokens are single-use and expire after 15 minutes.
• Session cookies are set with HttpOnly, SameSite, and Secure (in production) flags.
• The Portal connects to our helpdesk database in read-only mode — it cannot modify your ticket history.
• All connections use HTTPS encryption in production.

4. Data Sharing

We do not sell, rent, or share your personal information with third parties. Your data is only accessed by Ekwa Marketing staff for the purpose of providing our services to you.

5. Data Retention

• Login tokens — deleted after use or after 15 minutes, whichever comes first.
• Session data — cleared on logout or browser close.
• Support tickets — retained in our helpdesk system as part of our ongoing service relationship with you.
• Feedback — retained for internal review.

6. Your Rights

You may request to:

• Access the personal data we hold about you.
• Correct inaccurate information.
• Request deletion of your data (subject to our service agreement with your practice).
